Who we are
Glow Blue LTD ("Glow Blue", "we", "us") installs air conditioning, and in future boilers and plumbing, across Warwickshire and the Midlands. We are the data controller for the personal data described here.

What we collect, and why
Instant estimates — just your postcode and details about the rooms you want cooled. No name, no contact details: estimates are anonymous by design.
Survey bookings and callback requests — your name, phone number, email, address, and anything you tell us about the job. We use these to arrange your survey, plan travel, and contact you about your enquiry. Legal basis: taking steps at your request before entering a contract.
Quotes, installations and invoices — your contact and address details, your quote and acceptance (including your e-signature if you sign in person), the photos we take of each room before and after installation, and your payment records. We use these to perform our contract with you and to keep evidence of the work we did. Legal bases: performance of a contract; our legitimate interest in keeping accurate records of work for guarantees and any dispute; legal obligations for invoicing and accounting records.
Emails and notifications — records of what we sent you (booking confirmations, quotes, reminders, invoices), so we know what you've received. Legal basis: performance of a contract and our legitimate interest in reliable communication.
We don't use your data for advertising, we don't profile you, and we never sell it.
Who we share it with
We use a small number of service providers to run the business. They process your data only on our instructions:
- Stripe — card payments (survey fees, deposits, balances). Your card details go directly to Stripe; we never see or store them.
- Our email delivery provider — sends you the emails described above.
- Browser notification services (Apple, Google, Mozilla) — deliver work alerts to our own staff devices; these alerts can include your name and booking details.
- Job photos and signatures are stored on our own servers, not with a third party.
Some providers (for example Stripe) process data in the United States under UK-approved safeguards (the UK Extension to the EU–US Data Privacy Framework, or UK standard contractual clauses).
How long we keep it
We keep personal data only as long as it has a job to do, then remove it automatically on this schedule:

"Anonymised" means we strip out everything that identifies you and keep only anonymous statistics (like the postcode area and the outcome of the enquiry).
Your rights
You have the right to ask us for a copy of your data, to correct it, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format.
To exercise any of these, email glowblueltd@gmail.com. We respond within one month, free of charge. Where the law requires us to keep something (for example invoice records), we'll tell you exactly what we've kept and why.
Complaints
If you're unhappy with how we've handled your data, please contact us first — we'll do our best to put it right. You also have the right to complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).
